Role Purpose

The Executive – Procurement will be responsible for managing long-term procurement agreements, strategic sourcing, vendor partnerships, and overseeing the complete Procure-to-Pay (P2P) cycle across distribution centers. This role demands a strong focus on cost optimization, process compliance, vendor coordination, and effective stakeholder engagement.

 

Key Responsibilities

1. Procurement Strategy & Vendor Management

  • Manage and oversee long-term C&F (Clearing & Forwarding) agreements including BOOT (Build, Own, Operate, Transfer) model contracts.

  • Identify, evaluate, and finalize vendor partnerships for:

    • Road, Air & Sea Freight

    • Courier & Last-Mile Delivery

    • Customs House Agent (CHA) services

  • Manage agreements and contracts with suppliers to ensure compliance and performance.

2. Strategic Sourcing – Indirect Procurement

  • Handle strategic sourcing for:

    • Capital Expenditure (Capex)

    • Office Consumables

    • Professional Business Services

    • IT-related purchases

3. Procure-to-Pay (P2P) Process Management

  • Validate purchase requests and ensure approvals align with Delegation of Authority (DoA).

  • Create and maintain Purchase Information Records (PIR) in VPMS.

  • Generate Purchase Orders (POs) in SAP for materials and services.

  • Raise requests for vendor advances and new item code creation through SNOW.

  • Ensure timely communication of PO and advance details to vendors.

  • Follow up with suppliers to ensure timely delivery and service fulfillment.

  • Coordinate with Finance for vendor advance reconciliation and resolution of GST defaults.

4. Systems & Data Management

  • Create and update vendor codes and master data in VDMS.

  • Organize, manage, and analyze large datasets to drive actionable insights and support procurement decisions.

5. Stakeholder & Operational Support

  • Liaise with Customs House Agents and freight forwarders to address customs clearance issues.

  • Support end users across distribution centers for smooth procurement operations.

  • Monitor supplier performance and drive continuous improvement initiatives.

 

Required Skills & Competencies

  • Strong negotiation and vendor management skills

  • Proficiency in SAP, VPMS, VDMS, and SNOW systems

  • Knowledge of procurement policies and compliance requirements

  • Analytical mindset with the ability to handle and interpret large data sets

  • Excellent communication and coordination skills
