Exporting Supervisor

Principal Accountabilities and Key Activities:

1.    Ensure that Health and safety of warehouse activity comply with all CPP’s policies and regulations
-    Ensure the working environment is fully complied with Coats standards.
-    Maintain high standards of 5S, housekeeping and industrial hygiene.
-    Comply with Global anti-corruption and bribery policies.

 

2.    Export Operations
-    Manage end-to-end export procedures, including booking, documentation, customs declaration, and shipment tracking.
-    Verify and prepare export documents: Commercial Invoice, Packing List, COO, Bill of Lading, manifests, certificates, permits, etc.
-    Work with freight forwarders, carriers, and customs brokers to ensure timely cargo loading and delivery.
-    Monitor export progress and proactively resolve issues such as delays, customs holds, missing documents, or routing changes.
-    Ensure compliance with Incoterms, export regulations, and destination country requirements.
-    Be responsible for reviewing and preparing documents before submitting to Government and customers (C/O, Affidavit, other certificates/ documentation required)
-    Ensure that all exported shipments with full documentation are handed to Distribution team as schedule.
-    Response for exporting documents filed and stored as instruction.
-    Liaise with relevant departments in solving issues relating to customers.
-    Review contract terms related to logistics, shipping, and delivery.
-    Ensure accuracy of export documentation and adherence to company SOP and international standards.
-    Maintain updated knowledge of customs regulations, FTA rules, HS codes, export controls, and tax policies.
-    Manage and archive export records for audits.
-    Coordinate with internal departments (Sales, Planning, Warehouse, Finance) for order readiness and document accuracy.
-    Communicate shipment status to customers and ensure timely updates.
-    Negotiate with shipping lines and forwarders for competitive freight rates and service quality.
-    Prepare weekly/monthly export performance reports: shipment volumes, costs, delays, non-compliance cases, etc.
-    Monitor KPIs such as on-time export percentage, documentation accuracy, cost variance.

 

3.    Ensure all digital and technology tools fully utilized and effectively
-    Act as WM / MM/ E-invoice power user – frequently review the local process to align with the Global best practice, to ensure all global SOP are fully adopted and updated.
-    Be responsible for working with Digital team to fix the issues related to systems.
-    Be responsible for SAP WM/ MM / E-invoice training for new comers and staff.
-    Raise MBC for enhancement requests related to system to support WH activities in term of productivity and costly.

 

4.    People Leadership
-    Supervise and train export staff on procedures, regulations, and documentation standards.
-    Allocate workload, set priorities, and monitor team performance.
-    Support continuous improvement and implement operational efficiency initiatives.
-    Be active in self-improving personal skills for better performance and management.
-    Play a role model in leadership behaviours.
-    Be responsible to lead, assign, assess and develop a small team to make sure efficiency and drive for high employee engagement.
-    Make sure that resources of the team are well trained, multi-skill and thoroughly utilized.
-    Set and monitor targets for the team in accordance with KPIs of the department
-    Support subordinates through coaching and knowledge sharing.
-    Liase and manage outsource contractor’s performance to ensure the productivity and saving cost, compliance

Education, Qualifications and Experience

A. Essential    
-    Bachelor’s degree in International Business, Logistics, Supply Chain, or related field
-    Minimum 2-3 years’ experience at the same position, in the fields of industrial distribution, logistics or warehousing
-    Strong knowledge of international trade regulations and customs procedures.
-    Familiar with Incoterms, HS code classification, export documentation
-    Good leadership skills: Communication, organization, trouble solving, teamwork, data analysis, reporting…
-    Proficiency in MS Office (Words, Excel…) and SAP_WM / SAP SD
-    Good command in English
-    Honest, diligent, active, careful, high sense of responsibility
-    Ability to multitask and work under pressure.  

B. Desirable

-    Knowledge of garment products
-    Knowledge of ISO 9001, ISO 14000, ISO 45001
-    Advance level for knowledge of Tax & Invoice process
-    Experience supervising a small team is an advantage
-    Good knowledge of HSE, 5S
