1. Time Management:
- Ensure the compliance in control employee work time following to law requirement
- Monitor and manage employee attendance, working hours, overtime (OT), leave, and absences.
- Ensure accurate timekeeping data is maintained in the HR system (HRIS) for payroll processing.
- Generate monthly attendance reports and analyse trends in absenteeism and OT.
- Coordinate with Functional Line manager to resolve attendance and leave-related issues.
2. HR data management in HR systems & Employee Personnel profile updates
- Maintaining employee record in HR system (Success Factor, local HR system) to ensure that the personal information and employment data is update timely and accurately.
- Responsible for all personnel data and ensure compliance with procedures.
- Ensure the HR filing system is well established: up-to-date, accessible, professional, labelling
- Coordinate with HR Team in HCM to ensure the implement procedures of employment such as labour contracts (extension/termination/amendment), employment letters and reference letters.
- Ensure data confidentiality and compliance with data protection policies.
3. Health Check Management (Annual & Occupational Health Checks) at site
- Plan and coordinate the annual health check for all employees, ensuring compliance with Vietnamese labor laws.
- Organize occupational health checks for employees in specific job roles as per workplace safety regulations (12 months cycles for new hires and 2 big cycles for all employees at site)
- Work with external medical providers to schedule, conduct, and report on health check results.
- Work with HS, HRBP and function to ensure the employee assigned
- Ensure proper documentation and follow-up actions for employees requiring medical attention.
4. Manage labour compliance of service contractors
- Maintain contractor workforce records, include attendance logs, payroll records, contract to ensure compliance and provide data for audit purpose
5. Social Insurance, Health Insurance & Unemployment Insurance (SI, HI, UI) – for responsible site
- Handle employee registration for new hire and update employment data changes such as salary, title and termination to Vietnamese Social Insurance as current laws on monthly basis.
- Process and track monthly claim of compulsory medical insurance (Sick leave, maternity, work injury claims) to ensure timely beneficiary payment for employee
- Ensure the Social Insurance book is closed and return timely to resigned employee.
- Work with Social Insurances Dept on new issues of SMU and inform to employees/ team promptly
