Sr. Executive, HRIS and Employee Experience

Role Purpose:
Manage Company’s HR Information Systems as Key User in line with the guidelines by Global HRIS Team. Also, support to enhance employee engagement, satisfaction and overall well-being by addressing employee needs, fostering a supportive culture, and through effective communication within the organization.
Administer SAP SuccessFactors (SF):
- Administer SAP SuccessFactors (SF) and act as a Key User for the cluster:

- Ensure all relevant employee information and records (e.g., position information, employment records, compensation, personal data etc.) are accurately updated in SF including data related to starters, leavers, employees with overseas assignments etc.
- Coordinate with all sites to ensure timely data update
- Orient employees on various SF modules, processes, and support them to adapt with the systems
- Troubleshoot as and when required; and coordinate with Global HRIS team to resolve related issues

- Review data on weekly basis to ensure SF data quality
- Extend support to South Asia Cluster as and when required.
Manage and Support other HR systems and Processes:
- Ensure smooth operation of local Time & Attendance systems in coordination with Plant HR
- Administer attendance & leave management for white collar employees. Regularize time-offs for unauthorized leaves
- Support managers with attendance and leave reports to improve attendance and work life balance on employees
- Administer policy and forms folder in internal portals (SharePoint, CoatsLink etc.)
- Lead the local HRIS projects and activities to upgrade the systems
- Collaborate with plant HR team on HR systems and support
- Support Managers with employee information
Manage employees’ hard copy files:
- Collect and document all employment related records in files of white-collar employees
- Produce information and record from the files as and when required
- Create alternate digital version of all physical files as a back up
HR Reporting:
- Prepare and share various employee reports to Management
- Share insights based on various reports, like exit feedback surveys, headcount number trend, attrition rate, diversity ratio etc.
- Provide monthly reports and share updated and accurate compensation and other employee data to Rewards team for payroll processing
- Prepare and support on various employee information related reports on ad hoc basis
Onboarding, Engagement and Employee Experience:
- Oversee the onboarding process to ensure new hires have a smooth and positive experience, including issuance of appointment letters, communicating the onboarding requirements, receive and record all documents as per legal and Company requirements etc.
- Ensure timely probation evaluations and partnering with managers for ensuring proper evaluation
- Ensure exit formalities for the departing employees and ensure completion of exit clearance of all the white collar and blue-collar leavers and hand over all relevant docs to Payroll for Full & Final settlement
- Facilitate internal employee movement and changes
- Support employees by issuing different employment documents and correspondences (transfer letters, promotion letters etc.)
- Assist employees on various HR queries in regard to HR services
- Support to implement employee engagement programs throughout the year to drive employee engagement
- Propose new initiatives that foster a positive work environment and culture
- Support in completion of employee surveys and help with results and analytics
Others:
- Payroll: Act as a back up for Payroll processing during contingencies
- Diversity & Inclusion Agenda: Assist HRBP to implement Diversity & Inclusion related activities and programs
- Project Support: Work in various cross functional projects based on management decision
Education, Qualifications and Experience:
- Bachelor’s degree from any reputed University, Preferably major in HR
- Sound Knowledge in ERP HRIS System
- Strong Knowledge in advance MS Excel
- Strong numerical skill
- Team Player
- Previous job experience of HR Services & HRIS in a reputed company for more than 3 years
